Appointments, Bookings and Cancellations

Once the appointment is booked for you, this appointment is confirmed, and this scheduled spot is yours.

Please check your schedules prior to booking your appointments, as clinicians have very limited availability, and it is not always possible to re-schedule appointments. It is also important to attend your appointments, for the success of intervention. If the scheduled time or frequency is not working for you, please discuss this with your clinician.

If the client or a member of your family is sick, you are able to contact us more than two (2) hours before the appointment and request the following:

Face-to-face parent session*
Telehealth appointment with the child (if medically appropriate) Telehealth parent session*
Resource preparation*
Report Writing*

Please note that star* items are not able to be billed with a Medicare or private health refund rebate.

If for some reason you are unable to attend your appointment, please contact us as soon as possible as a cancellation fee of 100% of the scheduled fee will be apply for appointments cancelled less than 48 hours before the scheduled appointment time

We understand that emergencies and situations occur which may be out of your control, therefore waiving the cancellation fee may be considered in this circumstance, however this is at the sole discretion of Kids at Play Therapy Services Owners.

Our service sends a courtesy reminder SMS 48 hours prior to the appointment, this is a courtesy message. Your appointment was confirmed when the initial appointment was made. If you are a client of the NDIS, this cancellation policy is applied within the guidelines of the scheme.

Attendance

While we understand that multiple cancellations or no shows to appointments can happen from time to time, it is important to attend your appointment. We understand that needs of the clients can make attending your child’s appointment difficult and the individual circumstances will be considered.

Attending your scheduled appointments enables:

  • Consistency of intervention
  • Improved goal outcomes
  • Continuous development of rapport and therapeutic relationships
  • Familiarity of routines

Kids at Play Therapy Services has nominated that if clients have the following situations occur then the following process will occur.

If a client and/or family cancels or has late cancellations (i.e. less than 48 hours notice) for three (3) appointments within a three (3) month period for all clinicians, then the client and family will be asked to attend their next appointment with the clinician to discuss barriers to attendance.

If a client and/or family cancels or has late cancellations for three (3) appointments consecutively, then the client and family will be asked to attend their next appointment with the clinician to discuss barriers to attendance. We are aware of families wanting a break from therapy during school holidays or other time periods, but it is important that this notified to us prior to when appointments are booked.

If a client and/or family has two (2) no shows within a twelve-month period for all clinicians, then the client and family will be asked to attend their next appointment with the clinician to discuss barriers to attendance.

If this pattern of cancellation, late cancellations or no shows continue, Kids at Play Therapy Services may cancel your ongoing appointments.
